About Perelman Performing Arts Center (PAC NYC)

Following 9/11, the community and civic planning process that resulted in the World Trade Center master plan in 2003 envisioned a new performing arts center as one of the anchors of the site. The Perelman Performing Arts Center (PAC NYC) opened in the Fall of 2023 realizing that plan and becoming the new home for emergent and established artists in theater, dance, music, opera, and multi-disciplinary performance from New York and the world in downtown Manhattan.

The role

The Events Coordinator is responsible for overseeing the logistics, administration and coordination of events and rentals at the Perelman Performing Arts Center, PAC NYC. This role will support the work of our Events team who are building a robust and diverse portfolio of events and rentals at PAC NYC’s new performing arts space. The Events Coordinator will coordinate the administration of the department including tracking rental inquiries and managing internal databases, as well as coordinating events logistics and providing day-of support for events in PAC NYC’s space.

Your key responsibilities

  • Work closely with the Events senior management team to provide planning and on-site coordination support for the dynamic portfolio of events and rentals at PAC NYC.
  • Record and track all new rental inquiries, including oversight of the rentals e-mail inbox and support initial site tours as needed.
  • Responsible for rental and event database and calendar management including Excel Event trackers, the YESPlan calendar, Cvent (Social Tables), SharePoint folders and other organizational-wide platforms.
  • For assigned events, manage the event directly from client discussions and planning to execution and completion with creative problem solving and attention to detail.
  • Work cross-functionally and distribute event information with other departments for events including the catering team, production, operations, security and audience services.
  • Maintain positive client relationships to encourage successful events and repeat business.
  • Support in developing marketing materials and coordinate promotional efforts for rentals at PAC NYC.
  • Handle finance requests for department, including some rental budget creation, managing purchase orders, invoices and working with the PAC NYC Finance team with respect to accounts payable and receivable.
  • Support in Developing and improving the systems, processes and tools used by the Events team to enhance and improve workflow, collaboration, communication, and impact.
  • Perform other related duties as assigned or requested.

What it takes to be successful in the role

  • 2+ years in events coordination and execution, with sales and performing arts center experience preferred.
  • Strong interpersonal and relationship-building skills.
  • Ability to work some nights and weekends as needed.
  • A team player who doesn't look at any task as too small.
  • Excellent written and verbal communication skills.
  • Ability to work under pressure and meet deadlines.
  • Technical proficiency required, including experience in using Excel.
  • Detail-oriented with strong organizational skills.
  • Passion for the performing arts and a commitment to PAC NYC's mission.

This position will remain open until a diverse and qualified pool of finalists has been identified.

Compensation and Benefits

Annual salary will range between $55,000 and $65,000 plus full benefits. Our benefits package includes health, dental, vision, life, accidental death and dismemberment and disability benefits, and self-insured dental, vision and health care and dependent day care flexible spending accounts. Full time employees are eligible for paid time off and 401K enrollment with employer match.
