Contracts Manager

Theatre Row, a program of the non-profit Building for the Arts NY, Inc. (BFA), is an Off-Broadway multi-theater complex in the heart of the Theater District that serves as an affordable home for performing arts organizations, and a lively, accessible venue for diverse audiences.

Located just two blocks from Times Square, Theatre Row’s five theaters, five rehearsal studios, and nine offices are rented by over 100 theatre and performance arts companies each year, bringing over 125,000 patrons to Theatre Row annually.

BFA is seeking a full-time Contracts Manager. The Contracts Manager is responsible for booking and contracting rentals for Theatre Row’s five theatres and overseeing rental invoices, deposits, and producer settlement payments. Successful candidates have experience managing rental programs, have a strong attention to detail, and are familiar with contracting best practices.

This is a 40 hour/week, salaried, exempt position. The Contracts Manager reports to the Director of Theatre Programs and Partnerships and supervises two associates (one full-time and one part-time staff member) in the contracts department. The Contracts Manager is expected to work onsite at Theatre Row, Monday – Friday, 10am – 6pm.

All employees of BFA will be required to provide proof of vaccination (or provide a medical or religious exemption) to enter the building.

Responsibilities of the Contracts Manager include but are not limited to:

Booking and Contract Management:

  • Responding to rental inquiries from new renters and maintain good working relationships with returning renters

  • Leading tours of the theatres for prospective renters

  • Managing the creation, negotiation, and execution of all theatre rental contracts

  • Overseeing the department’s contract associate in the execution of contracts using Signwell.

  • Editing and updating rental contract templates

  • Collaborating with other Theatre Row senior staff members on best practices for booking new rentals

  • Scheduling and leading production check-ins with Theatre Row staff and producers for all incoming rentals


Finance:

  • Overseeing the department’s finance associate in the creation and distribution of invoices, deposits, and producer settlements for all rentals

  • Coordinating with the BFA Finance Department with the yearly audit by providing all requested contracts and financial documents

  • Providing income projections for theatre rentals, utilities, and gross weekly box office revenue lines

  • Strategizing with the Director of Theatre Programs and Partnerships on how to meet theatre rental income goals


Required Qualifications:

  • 3+ Years of theatrical contracting or general management experience

  • Strong understanding of industry standards, both for non-profit theatre companies and commercial off-Broadway producing

  • Proficient in Microsoft office suite with a focus on Excel

  • Familiarity with QuickBooks and general bookkeeping best practices.

  • An ability to thrive in a complex, busy environment


Preferred Qualifications:

  • 5+ Years of theatrical contracting or general management experience,

  • Exceptional skills in Excel and QuickBooks with a focus on financial literacy and theatrical non-profit best practices

  • Strong communication skills, both written and verbal

  • Experience with a multi-venue space

Compensation: Salary is $65,000-$70,000 per year, commensurate with experience. In addition to the base salary, BFA offers full-time employees a generous benefits package, including medical and dental, flexible spending accounts (FSA) for health and commuter benefits, 403(b) retirement plan, paid time off, bereavement and parental leave offerings.
